Stop Chasing Estimates With an AI Assistant for Contractors
You're on site all day. The estimates get written at night, at the kitchen table. Then the next job starts, and the follow-up on last week's estimate never gets sent.
Meanwhile the inbox keeps filling. "Did you get my estimate?" "Can you come Thursday instead?" Each one takes a minute. Together they eat your evening.
I'm Kevin Daley. I set up an AI assistant for contractors that takes this office work off your plate. It drafts the follow-ups and the routine replies, and you approve each one before it goes out. It's for owners of contracting and trades businesses with about 5 to 50 people: general contractors, remodelers, roofers, HVAC, plumbing, and electrical.
Stop chasing estimates and bids that went quiet
The follow-up is the job that gets pushed aside, because you're on a ladder, not at a desk. That chasing is what the assistant picks up.
- While a customer is quiet, it drafts check-ins a few days apart.
- If they reply, the next follow-up is drafted around what they said. There's no fixed schedule.
- If they book, the follow-ups switch to reminders about the job, then a note after it's done.
It works the same for an estimate you sent a homeowner and a bid you sent a general contractor. Here's an example of a draft you'd see. Yours would sound like you.
Hi [first name], I wanted to make sure the estimate for [job] reached you. If the scope or the start date needs to change, tell me and I'll update it. [your name]
The assistant doesn't write the estimate. You still walk the job, work out the number, and send the quote. It picks up when the chasing starts. Here's how I set up estimate and quote follow-ups. If you'd rather do it by hand for now, I wrote free quote follow-up email templates you can copy today.
Keep site visits and start dates on track
Site visits and start dates move. Rain pushes a roof job. A homeowner needs Thursday instead of Tuesday. Then comes the back-and-forth of "does 10 work?" and "how about 2?"
The assistant checks your calendar, offers open times, and drafts the reply and the new confirmation. It lines up the reminder before the site visit or start date, too. You see every booking, and it all runs from the email and calendar you have now. Here's more on appointment reminders and reschedules.
Answer the routine office email without typing it again
Some emails ask the same thing every week. "Did you get my estimate?" "What time is the crew coming?" "What do I need to do before you start?" Hours and directions, too.
The assistant drafts replies to these routine emails, and you read each one before it goes out. If you want to try the do-it-yourself route first, here's how to automate follow-up emails in Gmail with what you already have.
Know what an AI assistant for contractors won't do
It doesn't write or price your estimate, and it doesn't walk the job. It doesn't answer the phone. It isn't a chatbot on your website or a tool for blasting marketing email. It doesn't replace the estimating or scheduling software you use. It works from your email and calendar.
If what you need is a person on the phone or someone to make judgment calls, I wrote an honest comparison of a virtual assistant vs an AI assistant to help you pick.
Approve every message and keep the final say
Every message starts as a draft. Nothing goes out without your OK. Texts work the same way: the assistant drafts them and you approve them.
Once you trust it on a kind of message, you decide whether it can send that kind without asking. You can take that back any time.
Money questions, change-order disputes, refunds, complaints, and anything touchy come straight to you. So do legal questions, HR, and anything that needs a judgment call. When you correct a draft, I adjust the assistant so it handles that kind of message better next time.
Start with one job and see what it can access
We start with one job, and estimate follow-ups are the natural first one. The assistant only gets access to what that job needs. Before anything is connected, I walk you through exactly what it can see.
Get straight answers before you book
What access does the AI assistant need?
Only what the first job needs, usually the email account you send estimates from and your calendar. Before anything is connected, I walk you through exactly what it can see.
What do I still approve?
Every message, to start. Once you trust it on a kind of message, you decide whether it can send that kind without asking, and you can take that back.
What happens when the assistant is unsure?
It doesn't guess. It leaves the message for you. Money questions, change orders, complaints, and anything touchy always come straight to you.
Does the assistant write my estimates?
No. You walk the job, work out the number, and send the quote. The assistant picks up when the chasing starts.
Is this an AI receptionist?
No. It doesn't answer the phone, and it isn't a chatbot on your website. It drafts your follow-ups and routine office email for you to approve.
