Answer Where's-My-Order Emails Faster With Copy-Ready Replies

By Kevin Daley ยท

A customer writes "Where's my order?" and you drop what you're doing to answer one more order status email. You look up the order. You check the tracking. You type the same answer you wrote last week. A good order status email template fixes that part. You copy it, fill in the brackets, and send.

Your store already sends an order confirmation. It may send more updates as the order moves along, depending on the system and how it's set up. Shopify, Square, and WooCommerce each handle this a little differently. On WooCommerce, for example, the core email is "Completed order," not a shipping email. Either way, customers still write in.

Below are five replies, each short enough to read aloud. They cover shipped, still being made, delayed, ready for pickup, and delivered but missing.

Reply to a Where Is My Order Email Without Guessing

Find the order by email address or order number. Check the status and the tracking. Answer their exact question in your first sentence. Then paste the matching template: shipped, being made, delayed, ready for pickup, or delivered but missing. Fill in the brackets and send.

Here is how I run those checks.

  1. Find the order. Search your inbox or your store by the customer's email address or the order number. If they gave you neither, ask for one. A name alone is not enough. Two customers can share one.
  2. Check the status and the tracking. Is it paid, being made, packed, shipped, or ready for pickup? If it shipped, open the tracking and see where it is today, not where it was yesterday.
  3. Answer the actual question. Read their message again. "Where is it?" is not the same as "When will it ship?" or "I think it was lost." Reply to what they asked, in the first sentence.

Keep it short. Most of the time they just want a straight answer, so give them one.

Send Tracking Fast with This Where Is My Order Email Reply

Use this when the order is on its way and the customer missed the shipping email or can't find it.

Subject: Your order [order number] has shipped

Hi [first name],

Good news: your order shipped on [ship date]. Here is your tracking link:
[tracking link]

The latest update shows it is [current status]. The estimated delivery is [date or date range].

If the tracking has not moved in [number] days, write me back and I will look into it.

Thanks,
[Your name]

Put the real status in the email. "It's on its way" tells them nothing new. "It left the sorting facility this morning" tells them something.

Set a Clear Ship Date When the Order Is Still Being Made

Use this when the order has not shipped yet and you are still working on it.

Subject: Update on your order [order number]

Hi [first name],

Thanks for checking in. Your order is [being made / being packed] right now.

I expect it to ship by [date]. You will get a shipping email with tracking as soon as it goes out.

If that date does not work for you, tell me and we can talk about options.

Thanks,
[Your name]

Give a date, not "soon." A date lets the customer plan. If you are not sure, give the latest date you are confident about.

Explain a Late Order Honestly with This Order Delay Email Template

Use this when something went wrong on your end or with a supplier, and the original date will not hold. Say so plainly.

Subject: A delay on your order [order number]

Hi [first name],

I want to be straight with you. Your order is delayed. The reason is [short, honest reason: a late shipment from a supplier, a backlog, a mistake on my end].

The new expected ship date is [date]. I am sorry for the wait.

If you would rather not wait, I can [cancel and refund your order in full / swap it for [alternative item] / ship what is ready now and the rest later]. Just tell me which you prefer.

Thank you for sticking with me,
[Your name]

Keep the reason to one sentence. Pick a new date you can actually hit, because a second slip is worse than a later date. Then offer a way out, so the customer gets to decide whether to wait.

Better still, send this before they ask. A short follow up order status email on a late order beats a reply after they have been waiting and wondering. That kind of early note is what order follow-ups are about.

Save Pickup Customers a Wasted Trip with the Time and Place

Use this when the customer chose pickup and wants to know if the order is ready.

Subject: Your pickup order [order number]

Hi [first name],

Yes, your order is ready. (Or: It will be ready by [date and time].)

You can pick it up at [pickup location] during [pickup hours]. Please bring [your order number / a photo ID / the confirmation email].

If those hours do not work, let me know and we will find a time that does.

See you soon,
[Your name]

If it is not ready yet, say when it will be. Don't leave the customer guessing whether to make the trip. If pickups happen on a set day, the layout in my appointment reminder email template works for pickup reminders too.

Calm a Delivered but Missing Order Without Promising Too Much

This is the hardest email in the pile. The carrier shows delivered. The customer says nothing arrived. Don't accuse anyone. Don't promise a refund or replacement before you look into it. Take the first calm steps, then make your own call.

Subject: Let's find your order [order number]

Hi [first name],

I am sorry your order has not turned up. Let's sort it out.

The tracking shows it was marked delivered on [date] at [time], at [delivery detail if shown, such as front door or mailbox]. Sometimes a package is left with a neighbor, in a different spot, or marked delivered a little early.

Could you please check:
- around your front door, porch, and mailbox
- with neighbors or others in your household
- the delivery address on your order: [address]

If it still has not shown up after [one or two] days, write me back and I will [open a claim with the carrier / send a replacement / refund your order].

Talk soon,
[Your name]

Look at the last line. The brackets hold your options, and you pick one later. The reply buys you a day or two and lets the customer know you are on it. Refund or replacement is your decision, based on the order value, the customer, and what the carrier says.

Stop Repeat Questions by Fixing Your Order Emails

If you answer the same question three times in a week, look at why. The answer may belong in your shipping or pickup email, where the customer sees it before they write to you.

Check these places:

  • Shipping email. Does it say how long delivery usually takes? Does it say what to do if the tracking stalls?
  • Pickup email. Does it give the hours and the address?
  • WooCommerce stores. The core email is "Completed order," not a shipping email. Check whether your customers are getting tracking at all.
  • FAQ or shipping page. One short paragraph on timing and delays saves you the same reply every week.

If a common answer is missing and you can add a line, add it. Order questions are only one kind of routine email that eats a morning. The fix is often the same: put the answer where people already look.

Keep Your Templates in One Place So Replies Go Out Faster

The speed comes from having the words ready, not from typing faster.

  • Save all five in one document or a folder of saved replies.
  • Name each one so you can find it fast: Shipped, Being Made, Delayed, Pickup, Missing.
  • Fill in every bracket. Search the draft for "[" before you send.
  • Read each reply once before it goes out. A wrong date or a wrong name costs more to fix than the time you saved.

If you work out of Gmail and want to set up your own follow-ups, I wrote a DIY guide to automating follow-up emails in Gmail.

If you would rather hand these replies to someone, my AI vs a real virtual assistant comparison can help you decide who.

Get straight answers before you book

Should I send an order status email before the customer asks?

When something is late, yes. A short delay note before they write in goes over better than a reply after they have been waiting. For on-time orders, your store's regular emails are usually enough.

How fast should I answer a where is my order email?

Aim for the same business day if you can. If you need time to check, a short "I'm looking into this and will get back to you by tomorrow" is better than silence.

Should I give a refund right away when a package is marked delivered but missing?

Not necessarily. Start with the calm first steps in the template and see what the customer finds. After that, it is your call, based on the order value and what the carrier shows.

Can an AI assistant write these replies for me?

Yes. An AI assistant can draft them from the order details, and you read and approve each one before it goes out. It is not a website chatbot, and nothing is sent without your OK.

Get These Replies Drafted for You

If you would rather not write these by hand, I set up an AI assistant that looks up the order in Shopify, Square, or WooCommerce and drafts the reply. You approve it, and nothing goes out without your OK. See order follow-ups, or book a 20-minute walkthrough (opens in a new tab).
